EDUCATION AGREEMENT

Thank you for your interest in our Education Agreement.
Once you have booked and paid for a place on one of our education activities we start an important learning relationship where SPACER is the provider of the activity, and you are a participant in the activity. This page describes what we offer, and the way we will work together. We call this our Education Agreement (or our Terms of Sale).

To make sure that you and SPACER will get the most out of our learning relationship we suggest that you take time to read this information. Please contact the Education Team (by email or phone) if there is anything you do not understand or need to be explained in more detail. We both need to keep a copy of this agreement for reference.

1. BOOKING

You can apply and pay for a place on an education activity, through our website here.

We will provide outline details of the activity, booking and payment instructions on our website here.

If you need support to complete the booking and payment please contact our Education Team by email or phone.

You will receive email confirmation that you have a place on your chosen activity when your booking and payment has been received by our Education Team.

On receipt of your booking and payment by our Education Team, we will confirm your place to your email given on your booking.

If your chosen education activity is full, you can apply to join the waiting list. Fill out our enquiries form, and tick the relevent waiting list box.

Once an activity is full our Education Team will keep a waiting list of people who have indicated on enquiries form that they are interested in joining the course should a place become available.

If you are on the waiting list you will be notified if/when a space becomes available and you will need to follow the booking and payment instructions as directed by a member of our Education Team.

Our Education Team will contact you if a place becomes available and we will support you to complete your booking and to pay the fees for the activity.

Your booking is expressly for you (the person named on the booking). If you are unable to take up the place please let the Education Team know as soon as possible and follow item 4. ‘If You Cancel’ below.

Any online access links and details related to the activity are for your personal use only. Please do not share the online or any other forms of access.

With the confirmation of your place, our Education Team will include either online access links and details for the activity, or the location details, as appropriate.

Please ensure that SPACER has your correct name and contact details. Please advise us of any changes between booking and up to and including the end of the activity.

Your details will be held according to our Privacy Policy.

2. PAYMENTS AND REFUNDS

Please pay the full activity fee and any associated optional costs using the payment facility on our website to secure your booking.

All education activity fees include our overhead, personnel, booking, administration and material costs. Any additional optional costs will be specified in the particular activity details and will be separate to the activity fee and maybe non-refundable.

Where a payment is to be refunded you will be asked for the bank details of the account you made the payment from.

Where it is necessary to make a refund we will do so by bank transfer to the same account that you used to made the payment for the activity. We will need you to provide these details in order for us to make the refund to you.

3. EDUCATION ACTIVITIES AND OUR PEOPLE

Please refer to our website for the details and fees of our education activities. You will also find details of our education team, learning guides, tutors and guest speakers. These details and people may vary from time to time.

The education activities, prices and the SPACER people involved in an activity will be available on the website. This information will include any learning guides, tutor or speaker biographies. This information may be updated from time to time.

We make every effort to run an activity as advertised however we reserve the right to make minor changes to the content and administration details at any time and without prior warning to education participants and others.

We are not able to guarantee the involvement of particular people such as members of the Education Team or invited guest speakers or associates.

4. IF YOU CANCEL

There is a statutory cancellation period of 14 calendar days, starting on the first day you receive confirmation of your booking and access details to any online aspect of the activity. You may cancel and receive a full refund at any time during the cancellation period provided that you do not download any activity material that you have been given access to.
Please contact the Education Team as quickly as possible of your decision to cancel. You do not need to provide a reason for your decision.

Where appropriate we will request the bank details originally used for your payment and we will recredit a full refund to your account by bank transfer.

If you cancel outside the 14 days or download online activity specific material at any time, you are no longer entitled to a refund.

Please contact the Education Team (harry@wearespacer.co.uk or phone +44 (0) 1843 580083) as soon as possible so that we can offer your place to someone on the waiting list.
If we are unable to fill your place, especially at short notice, and you are unable to accept an alternative date or activity we will be unable to refund your payment.

If you are unable to attend an activity due to illness or unforeseen circumstances, please notify us as soon as possible.

Please contact the Education Team (harry@wearespacer.co.uk or phone +44 (0) 1843 580083) as soon as possible so that we can help you to catch up on what you have missed, where possible.

5. IF WE CANCEL

You will be notified by email or phone and you can either request a full refund or for your place to be rebooked at a later time.

We reserve the right to discontinue or suspend an activity if it is no longer viable for any reason including financial, educational, legal, market related, regulatory, or a situation beyond our control.

If refunds are made, we will request your bank details originally used for your payment and we will recredit your account by bank transfer.

In the event of absence of key people involved with the activity, and where a suitable substitute person cannot be engaged, the activity will be cancelled giving 24 hours’ notice where possible and an alternative date will be negotiated.

If you have secured travel or accommodation prior to the activity start date and time and the activity is cancelled and/or rescheduled to an alternative date, SPACER is not liable to cover reimbursement of any associated costs resulting from the change.

6. ACCESSIBILTY

Please talk with our Education Team (in confidence when appropriate) if you have particular accessibility requirements, concerns or comments. Please also refer to our Fitness to Learn guidance.

We will do our best to support your needs. We may ask for your permission to discuss your needs with relevent colleagues or team members.

We are an organisation where many of our staff identify as neuro diverse, and some may have other accessibility needs. Where necessary we will advise you of our needs, or explain where we have not understood or need further accommodations to help us to help you.

Please check the website for the technology requirements to join online sessions.

We provide the details of the technology and device capabilities required to get the most from our online activities. These will also be included in the joining instructions email to remind you to check that you will be able to use your device for the session. The details on the website will change from time to time.

7. MATERIALS AND EQUIPMENT

Please bring your own note or sketch book and pencil or pens to our activities to capture ideas and to take notes.

Unless specifically stated as a separate and optional cost, all our fees for our activities include materials and the use of equipment (where appropriate).

The website and activity joining instructions will give details of any other materials or equipment you will need to provide yourself.

8. USE OF STUDIOS AND EQUIPMENT

You agree to act with courtesy, consideration and integrity at all times towards participants, staff of SPACER and any other people connected with or using the SPACER studio complex.

It is our policy to embrace equality and diversity and to act on any unwanted conduct relating to one of the protected characteristics which creates an intimidating or offensive environment.

SPACER reserves the right to take whatever action is considered reasonable at the time of any transgression.

Your application for a place on one of our activities indicates that you believe yourself to be fit to learn. We have produced guidelines to help you to understand what this means here. If it becomes apparent that you are having difficulties, SPACER reserves the right to ask you to leave the studio complex thereby terminating our education agreement.

SPACER reserves the right to have you removed if your conduct is endangering others or is likely to damage property or the reputation of SPACER. If you are removed for any or all of these reasons, we will not refund any sums paid by you to SPACER for the activity.

On entering our studio space you will be required to take part in our Health & Safety induction to ensure that you are able to safely move about, and handle any equipment or machinery required during the course.

Our studio complex includes an operating commercial manufacturing workshop, therefore there are additional Wellbeing, Health & Safety considerations that we need you to take account of. We publish these here and we update from time to time.

These are our Health & Safety requirements. Please note they may change from time to time.

We reserve the right to exclude anyone from the studio complex who is judged not to be following the Health & Safety requirements and/or behaving in a way that is deemed to be endangering others or the business and reputation of the organisation.

Please keep your belongings with you at all times, unless instructed to do otherwise by a member of our Education Team.

We cannot be held responsible for any loss or damage to personal belongings and or property, whilst you are on or using the studio complex.

Please treat our studio complex and other users with respect. We request that you do not smoke or vape on or near the SPACER studio complex. Please approach our Education Team for express permission to bring young people or working animals to our premises.

For the safety of ourselves and others we reserve the right to refuse access to animals (other than assistance dogs) and people under the age of 18 without express permission.

9. RECORDINGS AND IMAGES

To protect our artist’s work it is essential that you ask permission before you take any images.

We take creative content generation very seriously and highly value the process of making. We are a studio complex and so it is important to remember that some of the work you may see during your visit may be private and/or highly confidential and it will not be appropriate for you to take images or shoot footage of it.

We welcome you to take images of the development of your own work during an activity. If you use your own images of your work on social media, please remember to tag @wearespacer.

We will ask your permission to take images (still or moving) of you and your work during your time in the SPACER complex. These images will be stored according to our General Data Protection Regulation (GDPR) policy and maybe used to promote SPACER and its education activities on social and other forms of media.

We may also ask for your permission to use your own images of your work, on a world-wide perpetual basis such as social media platforms for promotional purposes.

Please ask if you would like to record all or part of an activity. It will be expected that recordings are for your private use only and will not be shared on social media or similar platforms without our express permission.

We will grant permission for recording part or all of an activity, where possible and to facilitate your learning. Our permission will be given on condition that the recording will not be shared on social media or similar platforms.

10. TIMINGS

Please arrive at the studios or online in good time and a minimum of five minutes before the published time of the activity. This allows you to prepare for the session.

We will endeavour to run to the timings published on our website and your joining instructions. However where this has not been possible due to circumstances beyond our control, we will take time during the activity to discuss and take any agreed additional action as required.

If you arrive late please be thoughtful how you join the session so as not to interrupt others.

We will do our best to accommodate your late arrival but it is likely that we will not be able to extend a session to accommodate lateness.

Late arrival may affect your ability to complete the planned tasks in an activity, and you may affect your ability to complete the activity.

Where possible the person leading the session will help you to make the necessary adjustments to your work but in some circumstances this may not be possible.

11. PRAISE AND COMPLAINTS

Please discuss your comments with the person leading the activity in the first instance, and follow up in writing if asked to do so.

We take feedback seriously and welcome both praise and criticism. With this in mind, we are currently developing our ‘listening’ area to serve both you and us with the best process possible. In the meantime, please feel free to email our Head of Education, Lorna, with your feedback; lorna@wearespacer.co.uk. We will update this area of the agreement when our developments are live.

12. GENERAL COMMENTS

We are a small and busy team and so do not always answer the phone or emails immediately. Please leave us a message and we do get back to phone calls, and try to respond to emails by the end of the following working day.
